SECTION 1: SINGING TERMS & CONDITIONS 

SECTION 1:1 BOOKING 

All bookings must come directly through our website, WhatsApp, Facebook page, Instagram account or email. Booking requests cannot be sent to personal private pages of those involved with The Legendary Character Club. No individual can make a booking on our behalf unless agreed prior to proceeding. Bookings made through a 3rd party will not be honoured unless this has been agreed to be done prior to the booking. This includes anyone doing a prize giveaway. Once a booking has been made it cannot be altered without at least 24 hours notice. For more info regarding changes, cancellations and refunds, see the Cancellation & Refunds Policy. 

We reserve the right to refuse you're booking request at any time without notice or reason given.

SECTION 1:2 PAYMENTS 

All payments must be made no later than 1 month from delivery of service. If payment not received by the set date, an additional £10 per week will be added for each week the payment remains overdue.

Payments can be made via cash, bank transfer or PayPal. Cheques are no longer accepted due to ongoing complications with cheques. If you need to pay by cheque please discuss at the time of booking.

SECTION 1:3 BOOKING SLOT 

Be prepared for singer to arrive between 30-60 minutes prior to start time in order to set up and be ready to go. Allow for 30-40 minutes after booking for the singer to take down all equipment also. Please do not smoke around the singer if this is in your own home as this will affect the performance. If booking is to be outdoors it is vital that adequate shelter is provided with a gazebo or sheltered structure. Please ensure children do not run around the equipment or set up is beside any children's play activity items. You will be held liable for any damages to equipment caused by anyone at your event.

SECTION 1:4 CANCELLATION & REFUND POLICY: 

Bookings cancelled the day of the booking will not be refunded and instead an alternative date can be arranged if possible.

If WE need to cancel your visit for any reason ourselves as a result of something at our end you will be refunded in full including your deposit.

SECTION 2: SANTA TERMS & CONDITIONS

Bookings made through a 3rd party will not be honoured unless this has been agreed to be done prior to the booking. This includes anyone doing a prize giveaway for a visit.  

Once a booking has been made it cannot be altered once paid in full. If a booking is made for 3 but it is changed to less children the original price will stand as the visit will be given a time based on the original number of kids allotted for the visit. If you need to add children on after booking is confirmed, we cannot guarantee this is possible. This could result in needing to change your visit date and time in order to accommodate the change. The Legendary Character Club reserve the right to refuse you're booking request at any time without notice or reason given.  

The Legendary Character Club operate visits based on splitting them in to areas. These areas are Rathcoole (Upper & Lower), Rathfern, Fernagh, Whiteabbey, Whitehouse, Rush Park, Jordanstown, Monkstown, Ballyduff, New Mossley, Mossley, Carnmoney, Glengormley, Ballyclare, Ballyrobert, Doagh, Greenisland (Top & Central), Carrickfergus (Inner & Outer), Mount Vernon, Shore Road, Antrim Road, Old Park, Cliftonville, Ballysillan, Whitehead, Islandmagee & Larne (Inner & Outer). We may add additional areas depending on the demand. These will from now on be referred to as "The Areas". The Areas of operation are not restricted but bookings can only be for the designated area and not mixed from one to the other during time slots. For example, if we have 3 bookings between 6pm and 730pm with space for 2 more bookings within that time, we will only take a booking within the same area. I.e., all Rathcoole and not 4 in Rathcoole with 1 in the middle in Rathfern.  

As of 2024, The Legendary Character Club will no longer allow for multiple home visits to the same children. This will be difficult to monitor however when collecting childrens details for visits if any appear to be duplicates you will be asked if they are booked at another visit, if they are, those children will not be included as part of the visit. If however we are informed they are not part of any other visits and it turns out they are, the later visits they are on, these children will not be given the same level of interaction as the others as this would be repetitive and take away from the visit.

SECTION 2:1A SANTA VIDEO CALLS/MESSAGES

The Legendary Character Club's Santa will be able to record video messages for you at a cost. Video messages and calls will all be done on the same day each week and sent out then. Videos will not be redone once sent. Please ensure you have sent all details you would like included in the message.

SECTION 2:2 PAYMENTS 

All payments must be made BEFORE the 23rd November. We do not chase payments in December. We will be focusing solely on each day's visits then preparing for the next day's visits. Last minute bookings to cover cancellations will be required to be paid in full upon booking. Payments on the Santa Grotto Experience will be required to be paid in full upon booking.

SECTION 2:3 VISIT TERMS & CONDITIONS 

All Childrens details for the visit will be required by the deadline set when booking. 

Your visit must be indoors or sheltered. It's important that you are prepared for your visit at least 15 minutes prior to the booked time. On occasion we may need to change times depending on number of bookings, amount on bookings, delays etc. If you or anyone for your visit is running late, we will not be able to wait on them. If not ready for the time booked for your visit at the absolute latest, we will skip your visit and move to the next one. We will make sure each visit booked is fulfilled if we can, this would mean having to attempt your visit again at the end of the remaining visits. If this is not possible then you will have missed your visit. This will not be refunded. 

Please ensure no shedding cats or dogs are in the same area as Santa during your visit. We ensure costumes are kept away from animals that shed to help avoid causing those with allergies a flare up. For these health and safety reasons, we will refuse to enter your premises if we feel it could cause issue to another visit. We reserve the right to refuse your visit upon arrival if feeling threatened by an animal. 

Home visits will ONLY be carried out in a Smoke Free household. If you have booked your visit in a smoking household, Santa will give you the option to bring people outside to interact with Santa. If this is not acceptable Santa will leave without doing the visit. You will not be refunded as you have breached the Home Visit agreement by booking Santa in a household you were aware he would not visit.

If any children are punching, kicking, pushing, pulling at costumes, snatching props, throwing things, verbally abusing or spitting at Santa, he will ask them to stop once. If they continue with this behaviour, your visit will be terminated immediately. No refund will be given. 

No more than the booked number for the visit should be at the visit. If additional children are at the visit and it has not been agreed or arranged prior, then we reserve the right to end your visit at that point. This will not be refunded.  

Santa home visits will not be including gifts or be able to facilitate giving gifts you have supplied. If this is something you would like to include for your visit please ask at the time of booking and arrangements can be made. 

The visit will consist of Santas one-of-a-kind unique interaction with each child one on one. Each child aged 2+ will receive a Nice List Certificate signed by Santa himself. You can take unlimited photos while Santa is interacting with your child and even videos.

SECTION 2:4: YOUR DETAILS AND USAGE OF THEM 

When taking bookings, we ask for some minor personal details. We require name and address for the person making the booking. This is so we know where the visit is and who is responsible for the visit. For Santa visits we also require each Childs name and age. We also ask you some intimate details about them. Things like what they have been good at, if they have been mischievous, anything you want us to speak to them about and things they have asked for as a Christmas present. 

The only details we keep are the name and address of the person responsible for the booking. Once a Santa visit has been completed, we delete all details of the children at the end of that day. We do not intend to intentionally share your details with any 3rd parties. You are completely within your rights to ask for proof of all documents we hold with your details on them. We do not keep any printed documentation. We do not keep your details digitally. 

We will never sell your details to any company or persons under any circumstances. If requested by any legal governing bodies including but not limited to the Northern Ireland Court Service or the Police Service of Northern Ireland for our records, we will be obliged to provide this information to them upon being issued with the required legal documentation. We will not give your name and address records to any legal bodies without the required legal documentation. 

Photos sent to us from your visit will be used for promotional purposes. These will be posted to our social media accounts and used for video footage. These may also be used in advertising campaigns and more. The only time these will not be used is with a clear request from the customer not to use these. Photos provided to us are treated as permission given to use for all aspects of promotion.

SECTION 2:5 CANCELLATION & REFUND POLICY: 

Santa Visits cancelled at any point in December by you, will not be refunded. If The Legendary Character Club cancel due to something it is responsible for then a full refund including deposit will be issued. We will not refund for cancelling under any of the following reasons: 

  • Fear of getting Covid 

  • Someone has Covid- please see our Covid policy regarding your visit for this. 

  • Forgot about the visit 

  • We booked to go on another Santa visit & want to cancel now 

  • The date or time no longer suits 

  • Someone has gotten sick- please see our Covid policy as this applies to that too 

  • Double booked and completely forgot 

  • I’m running late 

  • Not showing up 

These reasons are just some examples that we will not refund for cancelling. It is at our discretion whether a refund will be granted. If cancelled prior to December a refund will be given minus the deposit. Visits are non-transferable. Payments will not carry over to another year if you cancel. If you have booked and paid for a large group, a partial refund will not be given if not everyone turns up. For example, if you booked for 20 but only 13 show up, your booking was for 20 therefore the booking was accounted for 20 kids being there. 

If you no longer want your visit and decide to advertise it and offer it to someone else without discussing with The Legendary Character Club, the visit will not be honoured and a refund not granted. If you have not paid for your visit in full by the date requested, your visit will not be honoured.

SECTION 3: OTHER CHARACTER TERMS & CONDITIONS

SECTION 5: NO TOLERANCE POLICY 

The No Tolerance Policy covers but is not restricted to the following:

Treatment of performer,

treatment of costumes & props,

Smoking Households,

Alcohol & drug usage.

If anyone of any age is abusing the performer whether it is verbal abuse, physical abuse including punching, pulling, kicking, hitting, grabbing, biting, spitting, then the booking may be terminated immediately without refund. If this does happen you will also be banned from booking any services in future.

Smoking will not be permitted at any booking in the same area or near the performer. If this happens the service will be terminated immediately without refund. If this does happen you will also be banned from booking any services in future. Our services will not be provided in a smoking environment. If you live in a smoking household and want to book our services you MUST find an alternative venue. Should we not be aware of the location being a smoking household until arrival, the service will be cancelled upon arrival if an alternative can not be sourced within an acceptable time frame to perform the service. A refund will NOT be given should an alternative not be viable. You may also be banned from booking any future services.

Anyone intoxicated from alcohol or narcotics must be kept away from the performer. Should they interfere and prevent the performer from providing the service then the performer will terminate the service immediately. If this does happen you will also be banned from booking any services in future.

SECTION 6: CANCELLATION & REFUND POLICY 

The cancellation policy is subject to change at any time without notice. The policy is different for each Character. All deposits are non-refundable. It is at our discretion whether to give a refund and the following terms apply for all reasons. This includes but not limited to sickness, illness, Covid, death, availability issues or weather problems. 

Santa Visits cancelled at any point in December will not be refunded. If cancelled prior to December a refund will be given minus the booking fee. Visits are non-transferable. Payments will not carry over to another year if cancelled. If you have booked and paid for a large group, a partial refund will not be given if not everyone turns up. For example, if you booked for 20 but only 13 showed up, your booking was for 20 therefore the booking was accounted for 20 kids being there. 

If you no longer want your visit and decide to advertise it and offer it to someone else, without speaking to us first, the visit will not be honoured and a refund not granted. If you have not paid for your visit in full by the date requested, your visit may not be honoured.

Singing bookings cancelled on the day will not be refunded. Any singing bookings that have been double booked may result in The Legendary Character Cub refusing any further bookings and going as far as cancelling all future bookings.

Other Characters like Krampus, Easter Bunny or other seasonal character cancelled within 5 days of the booking will not be refunded.

If Krampus is cancelled you will also lose your Santa booking if you have took advantage of the advanced Santa booking reward. You will then be placed in the queue and await a cancellation.

Any services cancelled will also result in not getting the advantage of advanced Santa booking. If you have cancelled multiple times you may be banned from all future bookings. If you have cancelled upon the performer arriving or on their way, you will be banned from booking any further services. If you have made multiple enquiries and asked continually to have a slot held then do not book or even respond to follow ups, you will be banned from any further bookings.

If we need to cancel your visit for any reason ourselves as a result of something at our end you will be refunded in full including your deposit.

SECTION 7: INSURANCE & OTHER LEGAL REQUIREMENTS 

PUBLIC LIABILITY INSURANCE 

Public Liability Cover: £5,000,000 

ACCESS NI 

Our most recent Access NI for the character actor is a basic check showing no criminal convictions. The access NI for the operator is a comprehensive Access NI check for working with young groups and vulnerable people.
